Your privacy matters to us. This policy explains what personal information we collect, why we collect it, how we protect it, and the rights you have — in line with South Africa's Protection of Personal Information Act (POPIA). In short: we only collect what we need to help you, we keep it secure, and we never sell or share it.
1. Who we are
Zenith Valor is a web design and development studio based in Swellendam, Western Cape, South Africa. For the purposes of POPIA, we are the "responsible party" for the personal information described in this policy. You can reach us any time using the contact details at the end.
2. What we collect
We only collect information you choose to give us, or that we need to deliver a project:
- Enquiry details — your name, surname, email address, phone number, role in your company, and the message you send us through our contact form.
- Project details — business information, content, logos, images, and any material you supply so we can build your website.
- Agreement records — for clients who sign an agreement electronically, we record the signer's name, position, the date and time, the IP address used to sign, and a digital fingerprint of the terms agreed, as evidence of the signature.
- Basic technical data — standard information your browser sends when visiting our site, used only to keep the site working and secure.
3. Why we use it
- To respond to your enquiry and give you honest advice and a quote.
- To prepare and deliver the website or service you engage us for.
- To create and keep a record of any agreement you sign with us.
- To issue invoices and arrange payment.
- To stay in contact with you about your project.
We do not use your information for anything you haven't asked us for, and we do not send marketing you didn't sign up for.
4. What we never do
We never sell your personal information. We never share it with third parties for their own marketing. Your details are used only to respond to you and deliver your project.
5. Who we share it with
We only share information where it is necessary to run our business and deliver your project, and only with providers who keep it secure:
- Our website hosting and form providers (for example, the platform that receives your contact-form message).
- Our secure database provider, where client and agreement records are stored.
- A payment provider, where you choose to pay online, to process your payment securely. We do not store your card details ourselves.
These providers act on our instructions and are bound to protect your information. We do not transfer your information to anyone else without your consent, unless the law requires it.
6. How we protect it
We use secure, access-controlled systems, encrypted connections, and sensible internal practices to keep your information safe. Access to client records is protected by authentication and limited to what is necessary. No system is ever perfectly secure, but we take reasonable steps to guard against loss, misuse, and unauthorised access.
7. How long we keep it
We keep enquiry information only as long as needed to respond and follow up. Client and agreement records are kept for as long as we work together and for a reasonable period afterwards, to meet legal, tax, and record-keeping obligations. When information is no longer needed, we delete or de-identify it.
8. Your rights under POPIA
You have the right to:
- Ask what personal information we hold about you.
- Ask us to correct or update information that is wrong or out of date.
- Ask us to delete information we no longer have a reason to keep.
- Object to how we use your information, or withdraw consent you have given.
- Lodge a complaint with the Information Regulator of South Africa.
To exercise any of these, just contact us — we'll respond within a reasonable time.
9. Cookies & tracking
Our site uses only what it needs to function. We do not run intrusive advertising trackers. Any third-party components (such as maps or fonts) are used to make the site work and are subject to their own privacy terms.

We may update this policy from time to time. The "last updated" date at the top always reflects the current version.
